Sandsoft’s Asset Management module allows hotels to register, track, and monitor all assets—regardless of their current accounting status—using a streamlined process based on QR codes.

This approach ensures that regulatory and reference data (classifications, directories) are imported from the accounting system and supplemented with information from other sources. Even if an asset has been fully depreciated in accounting terms, it can and should still be tracked for operational management purposes.

Inventory Management via QR Codes

Asset inventories are conducted using QR codes through a dedicated mobile application. Labels with QR codes are printed directly from the program, making the verification process quick and convenient—even during general room cleaning.

The system also supports technical maintenance planning for complex systems, which can be scheduled either by calendar intervals or based on operational metrics such as machine hours, mileage, or other usage indicators. Maintenance completion is verified via checklists in the mobile app. Additionally, the system manages spare part and consumable requirements for each asset.

Maintenance Requests and Repairs

The mobile app enables staff to report malfunctions and request urgent repairs. Requests are processed by the dispatching service, which assigns daily tasks to in-house maintenance teams or external contractors and monitors their completion.

Housekeeping tasks can be scheduled manually or through integration with the hotel’s property management system (PMS). Sandsoft’s solution allows task assignment, progress tracking, and quality verification using checklists and photo reports.

Asset Registry and Operational Tracking

All company assets are displayed in a hierarchical tree structure and can be grouped by location, type, legal entity, accounting account, and other criteria. This makes it easy to view all assets assigned to a hotel building and drill down to the inventory of a single room—or in industrial settings, from the workshop level down to each workstation.

The system records all asset-related transactions—registration, disposal, issuance, return to storage—integrated with 1C:Accounting. The list of possible asset actions is fully customizable.

Assets can also be categorized into fixed assets, materials, tools, and other inventory. Items written off in accounting can still be tracked operationally for management purposes.

Inventory Schedules

Sandsoft’s module enables the creation of rolling inventory schedules by storage location. For example, rather than checking all rooms at once, the schedule can be spread out according to staffing capacity or occupancy levels. Inventory schedules can also be synchronized with planned maintenance, deep cleaning, or other operational events.

Planned Asset Actions

Similar to inventory schedules, the system supports planned inspections to assess asset condition. Findings are logged into the system, allowing for data-driven maintenance planning and timely replacements.

Analytical Asset Reporting

The Asset Management module includes customizable analytical reports that provide insight into asset location, condition, and utilization efficiency. This ensures that management always has the information needed to make informed operational and financial decisions.
